Export Documentation Checklist for Pakistani Exporters

Export Documentation Checklist for Pakistani Exporters

Overview

Exporting is as much about paperwork as products. Customs, banks, carriers and buyers all rely on documents to move goods and release payment. A small mismatch between two documents can hold a container at the port or cause a bank to refuse payment under a Letter of Credit.

This checklist covers the documents most exporters need. Requirements vary by product and destination, so confirm current rules with your freight forwarder, customs agent and the buyer.

Registration and Basics

Before shipping, make sure your business is properly registered for tax and export activity, and that you hold any licenses needed for your product category. Keep your registration numbers consistent across all documents.

Commercial Invoice

The invoice is the core document. It should show seller and buyer details, invoice number and date, full goods description, HS code, quantity, unit price, total value, currency, Incoterms and payment terms. Descriptions must match the contract, the Letter of Credit if used, and all other documents.

Packing List

The packing list details the contents of each package, with carton numbers, quantities, net and gross weights and dimensions. Carriers and customs use it to verify the shipment.

Transport Documents

For sea freight this is the bill of lading, for air freight the airway bill and for road shipments the consignment note. Check consignee name, notify party, port names, description and shipping marks before the carrier issues the final version.

Certificate of Origin

Many buyers and customs authorities require proof of origin, especially if the buyer claims a preferential duty rate under a trade agreement. Certificates are typically issued through authorized chambers or agencies. Apply early, because errors take time to correct.

Quality, Inspection and Compliance Certificates

Depending on the product, you may need inspection certificates, phytosanitary or health certificates, fumigation certificates, test reports, or compliance documents for the destination market. Food, textiles, leather, surgical and electrical goods often have specific requirements.

Insurance Documents

If your Incoterm makes you responsible for insurance, such as CIF, provide the insurance certificate showing coverage amount and terms. Buyers often require coverage at a certain percentage above invoice value.

Banking Documents

For Letters of Credit, you will present a document set to your bank exactly as stated in the credit. For collections, your bank forwards documents to the buyer's bank. Keep copies of everything and submit within the stated time limits.

Common Mistakes to Avoid

  • Spelling differences in company names or addresses
  • Different goods descriptions on different documents
  • Wrong HS codes or missing codes
  • Shipment date after the Letter of Credit deadline
  • Missing signatures, stamps or required copies
  • Submitting documents after the presentation period
